- Angela will look into invitations and general set up + Tadelle from Addis side.

- Tezira (and all subsequent presenter attendants or people preparing the invitation) to mention that people on campus (Addis/Nairobi) are expected to come to the main meeting room (JVC in Nairobi, Info centre in Addis).
- Ewen will invite Suzanne and John to join the next quarterly discussion in the week of 10-14 July.
- Susan will chase DDGs to ensure they identify scientists that could come and organise the seminars.
- Angela and Susan will check the ILRI Clippings draft post, update it with some information from the recent discussion with Suzanne and Shirley and publish it

Current stream of seminars
Innovation systems (May): The last seminar was not possible due to ICT facilities that wouldn't allow us to
EADD (June): 20-min talk and the rest of the time is Q&A. 26 June. Tezira's shared the flyer. Tezira's working on the blog post about it. Tezira will be handling the presentation. Logistical support e.g. confirming set up, refreshments, WebEx etc. Angela will look into invitations and general set up + Tadelle from Addis side. Tezira will check with Isabelle and Gerald about inviting external guests.
Klaus Butterbach-Bahl (August): Jane is looking into this but hasn't done much on it since she was on leave. Tezira to double check with her.
ICT infrastructure and feedback on set up
The ICT team looked into different options. Here is the email received.
In regard to the discussion we had during our last meeting to agree on the best way forward into holding the Livestock live talks we agreed to look into the following;
- Increasing the number of participants for WebEx to more than 70 to accommodate more people.
After review we realized that though possible this is not advisable due to problems with managing over 25 who may include the general public at large. It will result in uncontrolled noise and interference from the numerous It is more suitable for internal staff
- Creating a Virtual Meeting comparison Table – Please find a copy on our portal- [[1]]//
- Breaking Signal during Streaming – We successfully Tested on a different resolution and it was stable. However this varies dependent on the strength of one’s internet connection.
- Integrated DIS system – System - The new technology for unified communication offering synergy with various collaborative platforms such as Web Conferencing (WebEx), Video conferencing (Polycom) and teleconference equipment (Avaya)
This project is being treated as a high priority and currently is awaiting final approvals before commencement. We will keep you posted on the progress of this as we go ahead with the various processes.
As a way forward we advise for continued use of streaming for the talks until the new DIS system is in place.
How to move forward:
- It's possible to use WebEx for more than 25 people but it's constraining. However we recommend it, provided that: all people in Addis and Nairobi join the face-to-face event, that the link to WebEx is shared in the blog post this morning + in the invitation by Terry.
- Tezira (and all subsequent presenter attendants or people preparing the invitation) to mention that people on campus (Addis/Nairobi) are expected to come to the main meeting room (JVC in Nairobi, Info centre in Addis).
- As soon as DIS gets implemented we will be using it instead of this. If there is extensive taking place beforehand we can use this for the August seminar.
Following up on discussion with Shirley and Suzanne
In the recent discussion with Suzanne and Shirley, a number of issues have been raised. Here are some simple follow-up points:
- Ewen will invite Suzanne and John to join the next quarterly discussion in the week of 10-14 July.
- Susan will chase DDGs to ensure they identify scientists that could come and organise the seminars.
Survey post
Ewen drafted a blog post a while back about the feedback survey on livestock live talks and has shared it. This needs to be published and shared - but also updated in the light of recent discussions with Suzanne and Shirley.
- Angela and Susan will check the ILRI Clippings draft post, update it with some information from the recent discussion with Suzanne and Shirley and publish it.
